THE LUXURY TRAVEL EXCHANGE
Privacy statement
The Luxury Travel Exchange (LTX) is operated by Travel Media Limited, a New Zealand company. This statement explains how we collect, use, share and protect your personal information when you register for, attend, exhibit at, sponsor or otherwise engage with LTX.
Why we collect your information
We collect personal information so we can run LTX properly and deliver the business outcomes you register for. This includes:
  • assessing and verifying adviser and partner applications, including your role, company, trading history and areas of specialisation, so every participant meets our qualification criteria
  • matching advisers and partners and scheduling appointments
  • managing registration, accreditation, payments, travel, accommodation, dietary and accessibility requirements
  • communicating with you before, during and after the event
  • measuring event performance, including meeting outcomes and feedback
  • sending you information about future LTX events and related Travel Media Limited activity, where you have agreed to receive it
The information we collect may include your name, job title, employer, business contact details, professional profile, business preferences, appointment history, and any details you choose to give us about dietary, accessibility or travel needs. Photographs and video may be taken at the event.
The law we collect under
We collect, hold, use and disclose personal information in accordance with the Privacy Act 2020 and its Information Privacy Principles. We are not collecting your information under any law that requires you to provide it.
If we receive your personal information from someone other than you, such as a colleague, an industry association or a partner organisation, we will let you know as required by the Privacy Act.
Who can access your information
Your information can be accessed by:
  • authorised LTX and Travel Media Limited staff
  • other registered participants, limited to the business profile details needed for appointment matching and networking (for example, advisers see partner profiles and partners see adviser profiles). We do not share your personal contact details with other participants without your consent.
  • contracted service providers who help us deliver the event, such as registration and appointment scheduling platforms, venue operators, payment processors, travel and accommodation providers, and photographers. These providers may only use your information to perform services for us.
  • sponsors or commercial partners, only where you have given clear consent
Some of our service providers store data outside New Zealand. Where we send personal information overseas, we take reasonable steps to ensure it is protected in a way comparable to the Privacy Act 2020.
We will not sell your personal information.
Whether you can choose not to give us your information
Providing personal information is voluntary. You can choose not to give us some or all of the information we ask for. You can also opt out of marketing communications at any time using the unsubscribe link in our emails or by contacting us.
What happens if you don't give us your information
Because LTX is a qualified, appointment based event, some information is essential. If you do not provide it, we may not be able to:
  • assess or approve your application as an adviser or partner
  • schedule appointments or include you in the matching process
  • issue accreditation or confirm your attendance
  • arrange hosted travel, accommodation or event requirements
If you choose not to provide optional details such as dietary or accessibility needs, we may be unable to cater for them.
Accessing and correcting your information
You have the right to ask for access to the personal information we hold about you and to ask us to correct it if it is wrong. To make a request, contact us using the details below. We will respond within 20 working days, as required by the Privacy Act 2020.
We keep personal information only for as long as we need it for the purposes described in this statement or as required by law, after which it is securely deleted or de-identified.
When you submit an application or expression of interest, we email you a link to confirm your email address. If it is not confirmed within 7 days, your submission is deleted automatically and not kept.
Analytics and cookies
If you accept, we use Google Analytics to understand how visitors find and use this site - for example, which pages are viewed and where visits come from. Google Analytics sets cookies on your device to do this. We do not use it on our application forms, and we do not use it to identify you. If you choose essential only, no analytics cookies are set. Your choice is remembered for six months, and you can change it at any time from "Cookie settings" at the foot of our pages.
Advertising cookies (Meta and LinkedIn)
If you choose “Accept all”, our website uses the Meta Pixel and the LinkedIn Insight Tag. These record which of our pages you visit, along with technical details such as your browser, device and IP address, and share them with Meta Platforms and LinkedIn. They use this to measure how our advertising performs and, where you have an account with them, to show you relevant LTX advertising on their platforms.
They never run on our application forms, and we do not share your application or its answers with them. If you choose “Essential only”, they do not run at all.
Meta and LinkedIn handle this information under their own privacy policies, and may store it outside New Zealand, including in the United States. You can change your choice at any time using “Cookie settings” at the foot of every page, and you can manage advertising preferences in your Meta and LinkedIn account settings.
